Step 4K - Control Accounts - Deal Option Clearing

This General Ledger account is used as a clearing account and the account type is typically set up as a Current Liability and does not usually maintain a balance.

There are two scenarios when this clearing account is actioned:

Scenario 1

The Customer Order > Unit Deal has options that are unfulfilled but the Unit Deal is Invoiced

  • The Deal Service / Deal Merchandise for the unfulfilled options still remains unfinalized

  • The scenario above will cause the value of the unfulfilled options to be recorded into this Deal Option Clearing General Ledger until the Deal Service / Deal Merchandise is finalized

  • Once the unfulfilled options and Deal Service / Deal Merchandise is also invoiced, Blackpurl will do a further transaction into the Deal Option Clearing General Ledger

  • **Note that once the Unit Deal and also the Deal Service / Deal Merchandise is finalized, the Deal Option Clearing General Ledger is cleared for that Customer Order

Scenario Two

The Customer Order > Unit Deal has options that have been fulfilled and the Dealership has finalized the Deal Service / Deal Merchandise but has not yet Invoiced the Unit Deal

  • The scenario above will cause the value of the fulfilled options to be recorded into this Deal Option Clearing General Ledger until the Unit Deal is invoiced

  • Once the Unit Deal is invoiced, Blackpurl will do a further transaction into the Deal Option Clearing General Ledger

  • Once the Deal Service / Deal Merchandise and the Unit Deal is finalized, the Deal Option Clearing General Ledger is cleared for that Customer Order

Restrictions

Accounting entries to this General Ledger account should never be manually created in your accounting package -  - all transactions should be created by Unit Deal activities in Blackpurl.
