This article will explain what an Order Fulfilment Document is and how to print one from the Customer Order 



What is an Order Fulfilment Document

 

An Order Fulfilment Document will allow the the Dealership to print from the Customer Order to advise the Customer on:


  • What is being shipped with this shipment and the relevant invoice number and tracking number


  • What has already been invoiced, shipped and tracking number


  • What is yet to be invoiced and shipped



Prerequisite


  • You will need to enable the ability to Record Tracking Numbers


  • This is done through - System Setting > Settings and Controls - Shop Settings - Record tracking numbers and just move the relevant toggle to the enabled position but then don't forget to click on Apply Settings





Once the Record Tracking Numbers has been enabled, this feature will be available on Customer Orders



Customer Orders


Scenario:

  • Customer has placed an order by phone


  • 2 parts are in stock but he would like you to sent one part today, the other part next week with the on order part, sent when it actually comes in


  • So in effect there are going to be three shipments - all with different tracking numbers and invoices etc and you want to keep the Customer advised along the way with what is being shipped etc




First Shipment:

  • The process would be that you would Checkout as per normal - ie select the part that is going to get shipped / payment type etc but now there is a new section - Tracking# which you can now type your Tracking number




  • When you click on you will now have the option of printing an Order Fulfilment Document



  • The Order Fulfilment Document will generate and look like this:



                A.    What is being shipped with this Order Fulfilment 


                B.    The Invoice number for this shipment


                C.    Tracking Number for this shipment


                D.    Advise what has not yet been shipped



Second Shipment:

  • When you are ready to send the next shipment for this Customer Order - proceed to checkout as per normal


  • Again you will have the option of typing the Tracking Number and after you click on , the option to print a new Order Fulfilment document.


  • This new Order Fulfilment document will give you:


  • the present details - THIS SHIPMENT / INVOICE NUMBER / TRACKING # and then list the parts that will be sent with this shipment


  • the past details - PREVIOUS SHIPMENT / INVOICE NUMBER / TRACKING # and then list the parts that have been previously sent


  • the future details - NOT YET SHIPPED and then list the parts that have not yet been sent




Third and Final Shipment


  • When the last part has come into stock and you are ready to send the third and final shipment for this Customer Order - proceed to checkout as per normal


  • Again you will have the option of typing the Tracking Number and after you click on the option to print a new Order Fulfilment document


  • This new Order Fulfilment document will give you:


  • the present details - THIS SHIPMENT / INVOICE NUMBER / TRACKING # and then list the parts that will be sent with this shipment


  • the past details - PREVIOUS SHIPMENT / INVOICE NUMBER / TRACKING # and then list the parts that have been previously sent
