AUTOMATED PRICE FILE TOOL


We have introduced an easier way for Dealerships to have access to import Vendor price files into their Blackpurl through the Automated Price Files tool.


Benefits for the Dealership:

  • More control over when the Dealership want to import the price files.  They can import the price file at a convenient time to them
  • Allows Users to see when the last update was completed
  • Blackpurl will download the price files on your behalf from the relevant Vendors (if we have access to do so) OR the Dealership will email their price files to pricefile@blackpurl.com 
  • Blackpurl will do the initial format settings (this is required as each Vendor price file format is different) and then make the price file available in the Automated Price File tool
  • Allows the Dealership to set the rounding from the price file import itself
  • Once the price file mapping is set by the Dealership, the same settings will be the default for next time - allowing consistency


How Automated Price File tool works:


  • Price files will be held in a Price File Repository and will be automatically available to the relevant Dealerships
  • To have access to particular Vendor price files, your Dealership will need to have the relevant authorisation from the Vendor.  For example if you are not a BRP dealer than the BRP price file will not be made available to your Dealership
  • Once a new price file is received from the Dealership or is downloaded by Blackpurl, Blackpurl will do the initial format settings (remember that each Vendor price file format is different) and then the price file will be available through the Automated Price File tool
  • When a new price file is available for importing, the Dealership will receive notification 
The notification is a banner that will appear at the top of the Blackpurl Homepage:

**Only those Users with the User Permission: Price file import - will receive the notification and also be able to access the Automated Price File tool
  • This notification banner will remain on the Blackpurl Homepage until a User clicks on User-added image and decides on what to do with the new price file updates - Skip this Update or Import Price File 


How to use the Automated Price File tool: 

Scenario - a notification has been received on the Blackpurl Homepage that there is a price file available for import:

  1. User will click  User-added image from the notification banner to access the Automated price file section.
This section will allow them to see a list of all the price files available to the dealership and what their statuses are:

Let's do a quick rundown:

A.   A list of all the price files that your Dealership has access to

B.   The status of each price file: 
  • Up to date - means that your Dealership has already imported the latest price file for that Vendor
  • Update available - these are the price files that needs to be reviewed as there is an update available 


C.   The name of the price file in our Price File Repository

D.   The Vendor associated with the price file as per Blackpurl Vendor Record - Vendor ID and Vendor Name

F.    The last date when this particular price file was imported using the Automated Price File tool


  1. Using our scenario, the User can see that there is an Update available for import for Vendor: MC Distribution

  1. Click anywhere on the relevant price file tile and it will open up the price file mapping section.
Two options:
  • If you do not wish to import this particular price file, go directly to Skip this update - See item 5. in the screen shot below
If you choose to Skip this update, it will take you back out to the Automated price files section

This will not delete the price file or update - it will be available for you to import at a later date (if needed)

To access at a later date (if the notification banner is no longer appearing), from the Blackpurl Homepage > Other Tools > Automated price files

OR
  • Go through the price file mapping section and make sure that all the settings are good to go so you can Import Price File
** Any settings you make, will be retained for next time.

1.   The Vendor associated with this price file
2.   MSRP - Use the User-added image to make your selection of what column from the price file represents MSRP

Then if applicable, complete the following:
  • Markup percentage - please note that you don't have to indicate a markup.  If you do not indicate a markup then the MSRP will be the price as indicated on the price file
  • Rounded - Are the results to be rounded?  Change the indicator to suit
3.   Retail - Use the User-added image to make your selection of what column from the price file represents Retail

Then if applicable, complete the following:
  • Markup percentage - please note that you don't have to indicate a markup.  If you do not indicate a markup then the Retail will be the price as indicated on the price file
  • Rounded - Are the results to be rounded?  Change the indicator to suit

4.   Cost - Use the User-added image to make your selection and if applicable, complete the percentage mark up section
Please note that you don't have to indicate a markup

If you do not indicate a markup then the Cost will be the price as indicated on the price file.

**Other mapping fields may generate.  These additional fields will only appear if the price file you are working with references them.  For example:
  • Packaged parts
This is very important section if you have manually changed any package part section on Part Records.
For example:
You may have manually changed some of your Part Records to no longer be packaged parts and depending on what you answer next is whether or not importing the price file, will change the packaged part section on the relevant Part Records

- If you answer YES, then when you import the price file, it will override all your manual settings on the relevant Part Records as the packaged part section will update as per the details on the price file

- If you answer NO, this will tell Blackpurl not to override the manual packaged part settings on the Part Records even though the price file packaged part setting may differ


  • Category
Vendors may indicate on their price file what category they want specific Part Records to be

It is important that you complete the Vendor defined category and map it to the relevant Blackpurl Category

You will also have the option to Force Category and if you want to force your existing part records to obey the new category settings.

5.   If you do not want to import the price file, click on  User-added image
6.   If you have finished the mapping information, click on User-added image
  1. Once you have finalised the mapping settings and clicked on User-added image and the system will ask for confirmation > click on User-added image

The system will then start importing the price file

It is important that you do not close the Price File window until the import has run to completion


  1. Once the import has finished, the import result will load:

If the result shows Price file records that failed to import, please make sure you click on User-added image


This will produce an Excel file that will list all parts that failed to import and why

  1. This will take you back to the Automated price files section
For the price file you just updated, the status will change to Up to Date and amend the Last Imported date

At that point, you can choose to import a further price file or just exit from the Automated price files section



Please note:

  • If you have price file that you want to add to the Price File Repository, please email the price file to pricefile@blackpurl.com


  • You can still manually import Vendor Price Files through Price File Import if that is what you prefer
